Outdoor furniture hire in Australia

Outdoor furniture hire usually means renting lounges, tables, stools, umbrellas and similar pieces for a wedding, party or corporate event held in a garden, courtyard, park or under a marquee. This page explains what is typically available, how to plan numbers and layout, and what to sort out about delivery, ground, weather, damage and insurance, with links to Australian event hire businesses grouped by state.

This is a free, non-commercial reference page. It is not affiliated with any business listed, and listing is not an endorsement or recommendation. It sells nothing and quotes no prices. Check current ranges and hire terms with the official websites linked below before booking.

The guide

What outdoor event furniture is available, how to plan for it, and the terms worth understanding before you book.

What is typically available

Event hire businesses generally group their furniture into seating (chairs, stools, benches, ottomans, lounges and armchairs), tables (dining, trestle, café, coffee and side tables, and high bar or cocktail tables), bars and food stations, and umbrellas. Many also hire the items that go around the furniture: market umbrellas, heating and cooling, lighting, fencing and bollards, carpet runners and planters. Some keep ranges built for outdoor settings, such as cane and rattan settings, timber and pallet furniture, deck chairs and outdoor lounge sets, while others note that their general range suits indoor and outdoor events.

Marquees and structures

Furniture is often hired alongside marquees, pavilions, pagodas or gazebos, and several businesses hire both. Structures are a separate category with their own rules: hire terms for pavilions and pagodas can include wind-speed procedures, site checks for underground services, and non-refundable bookings. If your event needs shelter, sort out the structure first, because its size sets how much furniture will fit underneath.

Headcount and the mix of furniture

Start with the guest count and the style of event. A seated meal needs a chair and a place at a table for every guest. A cocktail-style event usually mixes high bar tables or leaners, stools and a few lounge settings so people can stand, perch or sit, and hire businesses suggest bar tables and leaners for cocktail events. Allow for the bar, catering and staff areas as well as guest seating.

Layout and floor plan

Hire companies ask where items should go. One Sydney and Melbourne hire business describes items as usually delivered stacked in one spot, with set-up by its team available for an extra labour fee, and treats a floor plan or a person on site to direct placement as essential. Larger hire businesses may assign a project manager and prepare site plans for bigger events. A simple sketch showing tables, seating zones, the bar, paths and power is enough for most events.

Delivery and pickup windows

Hire periods are usually short. One business describes a typical hire as 24 hours, with delivery often the day before and collection the day after; another delivers on weekdays in morning or afternoon slots, with weekend events usually delivered the Friday before and collected on Monday, and out-of-hours delivery at extra cost. Check whether the furniture must be packed and stacked for collection, and whether you can collect and return it yourself instead.

Access and ground surface

Hire terms commonly assume delivery at street level onto clear, level ground, and charge extra or charge a return trip if the truck cannot reach the site or the items are not accessible at the agreed time. Tell the hire business about steep driveways, stairs, narrow gates, upper floors or loading docks before booking. On grass, sand or gravel, ask whether tables and umbrellas need flooring, boards or weights, and mark any underground pipes or cables, because some terms exclude liability for unmarked services.

Weather backup

Outdoor furniture hire works best with a wet-weather and hot-weather plan. Hire businesses suggest weather-resistant furniture and adding umbrellas, heaters or fans so guests stay comfortable. Decide in advance where furniture goes if it rains (a marquee, verandah or indoor space), who will move it, and what happens to upholstered lounges and cushions left outside overnight. Some terms say the hirer is responsible for the equipment's safety and security during the hire, and that weather delays are outside the hire company's control.

Deposits, bonds and damage

Bookings are commonly secured with a deposit, and some businesses also take a refundable bond, returned when the items come back undamaged and clean. Lost, broken or stained items are usually charged at repair or replacement cost, and minor wear is generally expected. Some businesses offer an optional damage waiver, which typically covers limited accidental damage only and excludes theft, misuse or unexplained loss. Read the cancellation terms too, as deposits are often non-refundable.

Insurance and responsibility

Hire terms often make the hirer responsible for the equipment from delivery to collection and ask the hirer to indemnify the business against third-party claims arising from its use. If your event is at a public venue, park or corporate site, the venue or council may have its own insurance and safety requirements, so check those and ask the hire business about its own public liability cover.

Questions to ask a hire company

Plain questions worth asking before you book outdoor furniture for an event.

Is this furniture suitable for outdoor use, and what happens if it rains?
Upholstered lounges and cushions may not suit wet weather or being left outside overnight. Ask what the business recommends and who covers weather damage.
What are the delivery and collection windows, and do I need to be there?
Hire is often for a short period with delivery the day before and collection after. Confirm times, weekend arrangements and any out-of-hours charges.
Is set-up included, or will items be left stacked in one place?
Many businesses deliver stacked and charge for set-up. Send a floor plan or arrange someone on site to direct placement.
What ground and access do you need?
Mention grass, sand, slopes, stairs, narrow gates and parking. Ask whether umbrellas need bases or weights and whether tables need flooring on soft ground.
Is there a deposit, a bond or a damage waiver, and what do they cover?
Ask what is refundable, what counts as damage or soiling, and what a damage waiver excludes, such as theft or misuse.
What is your cancellation policy, including for bad weather?
Deposits are often non-refundable and late cancellations may be charged in full. Ask whether bad weather changes this.
Do you hold public liability insurance, and what does my venue require?
Hire terms often make the hirer responsible for items during the hire. Check the venue's or council's requirements before you book.
